BOOKING TERMS & CONDITIONS

m

Please ensure you read and fully understand these booking terms and conditions. If anything is unclear, please contact us so we can explain in further detail to avoid any misunderstandings. Bookings are subject to the following terms and conditions.

“Us” or “We”: Owners of Mid Wales Lodges
“You” or “Lead Guest”: Main person making the booking

Bookings

1. All bookings are made subject to availability and only become firm when the deposit is accepted by us.

2. An agreement between you and us will come into existence when payment is received and a booking confirmation is issued showing the confirmed holiday dates. The agreement binds you and all the members of your party.

3. The Lead Guest must be at least 18 years of age and have the requisite legal capability and authority to enter into an agreement at the time of booking. Bookings cannot be accepted from persons under 18 years of age.

4. By making a booking, the Lead Guest confirms that they have the  authority to book on behalf of the party and that all other party members agree that the booking is subject to these Terms & Conditions.

5. Failure to disclose all relevant information or comply with these terms may lead to termination of the agreement and loss of the booking.

6. We reserve the right to refuse a booking without giving any reason.

7. If you wish to add an extra guest after completing your booking, please call us to discuss your options. During peak season, we charge a set price for up to a maximum of 8 guests per lodge per week. During off-peak season, we offer a tier structure, charging for up to a maximum of 4, 6, or 8 guests. If your party meets the maximum number (either 4 or 6) for your confirmed booking during off-peak season, any extra guests will incur an additional fee in line with our current prices. For example, if you are a party of 4 and want to add an extra guest, you can request a booking upgrade to the next tier level (maximum of 6 guests) and pay the additional fee. All additional fees must be paid before arrival. If we discover the number of guests occupying the lodge is more than the number booked in, we reserve the right to either immediately terminate the booking without notice and without refund, or charge the weekly rate for additional guests, regardless of the length of stay.

Payment

1. All payments should be made directly to us either by bank transfer or card payment over the phone.

2. A non-refundable 25% deposit of the holiday cost is payable at the time of booking.

3. The balance must be paid no later than 6 weeks before your arrival date. If the balance is not received by the due date then this will be treated as a cancellation of the agreement by you and the time you have reserved will go back on sale.

4. Bookings made less than 6 weeks before your arrival date must be paid in full.

5. We are VAT registered. The price for the lodge rental includes VAT at the current rate of 20%. VAT invoices are available on request.

General information

1. Check in time is 5pm on the day of arrival and check out time is 10am on the day of departure. This allows the accommodation to be thoroughly cleaned and prepared for incoming guests. Please let us know if you would like to request any changes to these times.

2. We or our representatives reserve the right to enter the property at any time to undertake essential maintenance or for inspection purposes. We are required by law to test the hot tub water twice daily, so will need to access the outside decking area each day at around 7.30am and 5pm to complete this procedure. The hot tub is also emptied, cleaned and refilled at each changeover of guests to meet legal requirements.

7. We cannot be held responsible for natural disasters and circumstances that are beyond our control.
